Why AI Can’t Replace Your DMC

AI is having its moment in the workplace, from presentation generation and email drafting to outline creation and report building. The level of efficiency AI provides is hard to ignore, but it can’t replace your DMC.


In the events industry, many of us have embraced some of the advantages AI offers (and honestly, who could blame us?). For those juggling tight timelines, rising expectations and shrinking budgets, it can feel like a saving grace. As a Gen Z professional still relatively new to the workforce, it is hard to imagine not using AI on a daily basis - you can’t even search on Google anymore without an AI-generated answer appearing at the top of the page.


However, while AI is a powerful and useful tool, what a great DMC partner provides goes far beyond what technology alone can deliver.


What a DMC Actually Does (That AI Can’t Replicate)

A DMC isn’t just a logistics coordinator - we’re your on-the-ground partner, your problem-solver, your local expert and your safety net all at once.


We know which venues might look great online or on a site inspection versus the ones that actually deliver. AI won’t recommend the small, locally owned restaurant with a smaller advertising budget that consistently delivers an exceptional group experience, nor can it guarantee the level of service based on past programs hosted at a venue.


We have long-standing relationships with vendors that go beyond the contracts we sign with them – this can look like a venue manager being flexible on access times when your setup runs behind or having a transportation team adjusting routes and schedules in real time. It’s also knowing which vendors consistently show up prepared and which ones need more oversight. None of these moments show up in a run of show, and none of them are written into a contract, yet they’re the difference between an event that feels rigid and one that feels seamless.


We understand the nuances of our destination. We know when a major convention or sporting event will impact rates, venue availability and traffic, which neighborhoods feel lively versus empty on certain nights, or how long it actually takes to move a group from point A to point B (not just what the GPS says).


Most importantly, we’re there in real time, making decisions, solving problems and ensuring everything runs as planned. AI can generate a schedule - a DMC makes sure that schedule actually works.


Where AI Falls Short

1.      Real-Time Problem-Solving

Events rarely go exactly as planned. Weather shifts. Unexpected traffic occurs. A vendor shows up late. AI doesn’t step in when a load-in is delayed or leverage resources to accommodate a last minute ask from your CEO. A DMC is problem-solving often before you even realize there’s an issue.


2.      Relationship Building

The events industry runs on relationships. As Jeremy Gardner always says, “People do business with people they like.” A DMC can call a venue and secure a last-minute change of plans. We can negotiate pricing and use our buying power, smooth over issues and get things done quickly because we’ve built trust over time.


That relationship-building shows up in how we work with you directly as well - a good DMC learns how you operate, sets you up to manage your stakeholders successfully and can be agile from event to event.


3.      No Accountability

If something goes wrong, AI doesn’t take responsibility. It doesn’t problem-solve or stay late to fix it. A DMC does.


4.      Risk Management

From accessibility needs to emergency response & preparedness, events come with all types of risks. We vet our vendors, set high standards for insurance practices, and turn your many vendor contracts and payment schedules into one agreement – ours.

A DMC anticipates risks, plans for them and manages them if they arise. We know local regulations, permitting requirements and safety protocols. We have backup plans for our backup plans.


It’s Not AI vs. DMC

The most effective approach is not choosing between AI and a DMC – it’s using both strategically for what they’re best at.


If you look at current job postings, even companies building the most advanced AI technologies are still investing in human-led events roles. Anthropic, the company behind Claude, has been actively hiring for new roles tied to events, brand and marketing.[1] That says a lot - the companies creating AI recognize that human connection is not something you can automate away.


Final Thoughts

AI can plan, suggest and assist, but it can’t show up early, stay late, read the room, solve the unexpected, or take ownership of your event’s success.

 In an industry built on people, place and experience, that human element isn’t going anywhere.

 And neither is your DMC.
